Exporting Assets from Creative Solutions Fixed Assets CS (based on Tax Year 2005) and importing them into Personal Property Pro

Once you've done one client, the rest will be easy.

  1. Create a folder to store asset information files exported from Creative Solutions Fixed Assets CS. 
    Create the folder on your server if multiple users need to access these files.
  2. Open Creative Solutions Fixes Assets CS program
  3. Open the client you want to export
  4. Click on 'Utilities' then 'Export Asset Data'
  5. Using the scroll bar on the left, find the report called 'Rendition' and choose it.  If this report does not exist, create a new report called 'Rendition' and include only the columns 'Asset Number', 'Description', 'Date Acquired' and 'Cost'.  To create a new report, click 'Set Up' at the top of the page, go to Custom Reports and create the report, setting up the three required fields and naming the report 'Rendition'.

    NOTE: (Asset Number or Item Number is optional in PPP, and these must be numberic and should be unique)
     
  6. Uncheck the 'Include Column Headings' checkbox
  7. Uncheck the 'Include Columns Totals' checkbox
  8. Choose 'ASCII' as the format
  9. Save the file to the folder created in Step 1 (do steps 3-9 for all clients that you want to import into PPP)
  10. Open Personal Property Pro
  11. Add the client if not already added, saving at least the client corporate and owner name.  Click 'Save & Exit'.
  12. Click on 'Clients' from the menu, and highlight the client that you want to import assets into
  13. Click on the 'Import Assets' button (upper-right)
  14. Click on the 'Locate the File...' button (must be a file ending in .ASC)
  15. Navigate to the folder where the file was exported (step 1)
  16. Click on the client file saved above
  17. Open file.  PPP reads in the file and puts it into a grid of rows and columns.
  18. Set up the fields above the grid in Personal Property Pro as follows:
    A. First  0  rows contain column headings
    B. (optional) Asset item number - column   1  (if you exported the asset item number)
    C. Which column contains the Asset Description? Column  2    
    D. Date Acquired - column   3   
    E. Asset Cost - column   4  

    Note: This is assuming you only exported the three required columns, and optionally the 'Asset item number'
     
  19. Click on the 'Reload File' button in upper-right corner, and Personal Property Pro will try to auto-assign the county categories for you.

  20. Review assets to import, making sure asset categories on the far left are correct.  Re-class the assets that you want to import that say 'unassigned' and the box is unchecked. (Double-click the asset and choose from the drop-down list).
  21. After making necessary adjustments to any asset categories, click on 'Next Step' at top of screen
  22. Review assets with your prior totals.  Make any changes by clicking on 'Prior Step' and make any modifications. Then click 'Next Step'.
  23. Click 'Import Assets', either overwriting all assets, or appending assets to current assets for this client.
  24. Close the form and open the client by double-clicking.  Click the 'Assets' tab.  This is the summary screen, and by clicking on any button or column you can add/edit/delete individual assets.

After the 1st year, you can choose to import only the current year assets (or you can key them in manually):
    1) Checking the 'Flag all assets acquired from #### to ####' checkbox
    2) Select just the previous year in both combo boxes (Example: 2015 to 2015). 
If this is checked, Personal Property Pro will read in the entire file, and will automatically check only the assets acquired within the range of years you select.  After you verify the asset category for each checked asset (you can uncheck assets if your county does not include them), you can proceed to import the assets.

You can assign several assets the same category simultaneously.  Click on the '?' button next to 'Assign category to selected asset(s) at the bottom for help.
